Privacy Policy

This Privacy Policy explains how “Put Where” ("the App") handles your information. It applies to the iOS version of the App. The App is developed and operated by an individual developer ("we", "us", Haku Shunketsu), not a company. This English version is authoritative; if a translation conflicts with it, this version controls.

1. Summary

The App is designed so that your data stays with you. Your items, photos and locations are stored on your device and, if you choose, in your own iCloud account. There is no sign-up, and the App never asks for your name, email address or Apple ID.

Apart from what is stored in iCloud through Apple (Section 2), data leaves your device only in these cases:

  • When you use AI features, the content needed for that request is sent for analysis (Section 3).
  • To provide paid AI features and verify purchases, our server keeps a small set of usage and purchase records under a pseudonymous ID (Section 4).

Section 12 lists every category of data we collect.

2. Data on Your Device and in Your iCloud

Everything you record in the App — items, notes, photos, locations, storage spots and related settings — is stored on your device. If you turn on iCloud sync for a library, it is also stored in your own iCloud account through Apple. We do not keep a copy of this data and cannot see it.

Shared libraries: if you share a library, its contents are visible to the members you invite, according to the access you grant them. When you remove a member or stop sharing, their access ends.

Joining by QR code: when you scan a QR code to join a shared library, the App briefly stores a join request through Apple's iCloud. It contains an anonymous iCloud user identifier assigned by Apple, but not your name or Apple ID. While the request exists, we and other users of the App can technically read it. The App deletes it once you have joined; in rare cases where deletion fails, it may remain in iCloud.

3. AI Features

When you use AI features, some content is sent to an AI service for analysis:

  • Recognizing an item from a photo: a copy of the photo, and the names of places and storage spots in your library.
  • Generating search keywords: a small copy of the item's photo, and the item's name and note.
  • AI-assisted search: your search text, and related words from your library.

Nothing is sent while AI is turned off. You can turn AI off at any time in the App's settings.

Where the content goes depends on which AI you use:

  • Official AI: requests pass through our server to the third-party AI service providers we use for analysis. Our server does not store your photos or text. We do not use them to train AI models, and we only use providers that do not use this content to train their models. Providers may retain this content for a limited period, mainly for abuse monitoring and as required by law, in line with their own policies. We require the providers that process data on our behalf to protect it to a standard consistent with this policy.
  • Your own model: if you set up your own AI endpoint, content is sent directly from your device to that endpoint and never passes through our server. That endpoint's own policies apply.
  • Libraries shared with you: if the library's owner offers the official AI to members, your AI requests in that library use the official AI. If the library does not offer AI, or the owner's AI is unavailable for a request, your own AI setting applies to that request.

Your consent: before the App first sends anything to the official AI, it asks for your permission, and it asks again before you buy an AI plan or AI credit pack if you have not agreed. You can change your choice at any time with "Allow sending data to official AI" in Settings → Privacy. This choice syncs across your devices through iCloud. It does not apply to your own model.

4. Data Our Server Keeps

To provide paid AI features and verify purchases, our server keeps the following records. None of them include your name, email address, Apple ID, photos or item content.

  • Pseudonymous AI account ID: generated one-way from an identifier Apple issues for your Apple Account and this App; we cannot use it to identify your Apple ID. You can find it in Settings → Privacy.
  • Records under that ID: AI usage, AI plan status, AI credit pack balance and purchase history, records used to prevent refund fraud, and the access keys that let members of your shared libraries use your AI.
  • Refund reporting: if you agree to share credit usage for refund reviews (Section 5), your consent choice, and while a refund report is being sent, the Apple transaction ID it requires.

Retention: we keep these records for as long as they are needed to provide the service, or until you ask us to delete them, except as described in Section 10. Backups are kept for up to 14 days, so deleted data may remain in backups for up to that long.

5. Purchases and Refunds

All subscriptions and purchases are processed by Apple's App Store. We never see your payment details. Our server checks with Apple to confirm that your purchases are valid.

If you request a refund for an AI credit pack, Apple may ask us how much of it you have used. We answer only if you have turned on "Share credit usage for refund reviews" in Settings → Privacy. It is off by default, and you can turn it off at any time.

6. Activity History

A library can keep an activity history of who changed what and when. It is off by default. In a shared library, only the owner can turn it on or off. When it is on, every member's changes are recorded and visible to all members, and no one can opt out individually. Turning it off deletes the existing history. The activity history is stored with the library's other data, and is not sent to us or to any AI service.

7. Location and Sensor Data

With "Learn places automatically" turned on, the App uses your device's location and sensors to suggest and remember where items are. It is off by default, and the App asks for permission only when you turn it on. This data is used only on your device and saved with your library. It is never sent to our server or to any AI service; only place names you have entered may be included in AI requests (Section 3).

8. No Tracking, Ads or Sale of Data

The App does not track you across other apps or websites, contains no third-party advertising or analytics tools, and does not use cookies. We do not sell or rent your data.

9. Crash Reports

We do not use third-party crash reporting. We receive crash reports only through Apple, and only from users who have chosen to share diagnostics with app developers in their device settings.

10. Your Choices and Rights

  • View and delete your data: you can view all of your library content in the App. Deleting a library deletes its data, including from iCloud. Deleting the App removes local data; to remove data from iCloud as well, delete your libraries in the App first, or manage it in your device's iCloud settings.
  • Withdraw consent: turn off "Allow sending data to official AI" or "Share credit usage for refund reviews" in Settings → Privacy at any time. You can also turn off AI entirely in settings.
  • Delete data on our server: email [email protected] with the AI account ID shown in Settings → Privacy. Please note:
    • Members of your shared libraries will no longer be able to use your AI.
    • Any unused AI credit pack balance will be lost and cannot be restored or refunded.
    • Records used to prevent refund fraud are kept even after deletion.
  • Stop location learning: turn off "Learn places automatically" in settings.

11. Children's Privacy

The App is not directed at children, and we do not knowingly collect personal information from children. If you believe a child has sent us personal information, for example by email, please contact [email protected].

"Linked to you" follows Apple's definition: the data is tied to a pseudonymous account ID. We never learn your name or Apple ID from any of it. The last three categories are listed because our AI providers may retain this content for a limited time (Section 3).

13. Changes to This Policy

We may update this policy from time to time. When we do, we will change the effective date above and publish the new version at https://putwhere.app/privacy. For significant changes, we will also let you know in the App. If you continue to use the App after a change takes effect, you accept the updated policy.
